[Staff Settings & Customisation] Updated June 16th 2025: Starting after the June 17th, 2025 software update, requests in SHAREit can only remain in the temporary Lender > Pending category for a maximum of 20 full calendar or real days starting the day after it's initially received. Please check below for more information on updated calculations for SHAREit and ISO libraries or contact us for assistance.
Previously requests were calculated to remain with Lenders based on your Days to Respond (eg. 4) from the day the request arrived, including your Days Requests are Processed (eg. Mon to Fri), and also skipping any Holiday List/Temporary Closure dates. This sometimes resulted in requests remaining within a library's temporary Lender > Pending category for multiple weeks or even months without moving on to new lenders.
In an effort to stop requests from potentially "languishing" with an unresponsive Lender -- requests now still use Holiday List and Days Requests are Processed information if possible but also have a hard-coded Maximum Deadline Date and can only remain for twenty (20) full Calendar/Real days before being forced on to further lenders or going to Retry/Unfilled.
SHAREit Libraries
As most Illume SHAREit libraries use four (4) Days to Respond -- you won't need to make any Participant Record settings or Lender workflow changes and likely won't notice any difference between SHAREit libraries!
- If your library does need additional time to reply to a Lender request -- please 'pick-up' or 'hold' the request by updating the status to "Will Supply/In Process" instead to keep the request longer before replying with Shipped or Will not Supply. Please Note: Technically requests 'saved' with Will Supply/In Process will remain with you for 2 years but we recommend keeping requests no longer than 2 weeks before rejecting unless you are the only lender or lender of last resort for an item.

- If your current Days to Respond = 4 and your library normally processes requests from Monday to Friday you may see requests remaining for slightly longer as the initial partial day the request arrives is no longer counted. The first "partial" day is no longer counted as libraries often receive new lending requests after Staff have already left for the day. Only full days are now counted in the Days to Respond calculation.
- Example 1 (4 Days to Respond): A new request is "Approved - Send" from a Borrower library and arrives in your temporary Lender > Pending category at 5:34pm on Friday June 20th. If your Days to Respond = 4 and ILL Staff are available Monday to Friday to process requests your old and new calculations would be as follows:
- Example 2 (4 Days to Respond & Holiday List Dates): A new request is "Approved - Send" from a Borrower library and arrives in your temporary Lender > Pending category at 11:07am on Tuesday June 24th.
If your Days to Respond = 4 and you're normally open Monday to Friday but you're closed for ILL staff or library holidays using the Holiday List/Temporary Closure settings in SHAREit on Monday June 30th & Tuesday July 1st the following week, your old and new calculations would be as follows:

ISO Libraries
Most ISO libraries require additional time to respond with a "Shipped" or "Will not Supply" status update as Relais does not allow lender libraries to 'pick-up' or 'hold' temporary requests for longer. This current SHAREit software update will result in Relais libraries having 20 full real days to respond before a request expires out of their temporary Lender > Pending in SHAREit. Please contact an ISO library directly for assistance if they ship a physical item but the request is no longer attached to them in SHAREit and let us know if you receive increased duplicate requests.
Since ISO libraries use seven (7) or ten (10) Days to Respond they may encounter the hard-coded Maximum Deadline Date of twenty (20) full days due to holiday dates/closures. For example a request sent to UVic on Friday June 20th will remain with them until their Days to Respond of 10 Business Days OR 20 full calendar days is reached (whichever is shorter) before being forced on to further lenders or going to Retry/Unfilled.
- Example 1 (10 Days to Respond): A new request is sent from a SHAREit Borrower library at 5:34pm on Thursday June 19th and arrives in your SHAREit temporary Lender > Pending category and also within Relais a few minutes later due to an ISO message update. If your SHAREit Days to Respond = 10 and ILL Staff are available Monday to Friday to process requests your old and new calculations would be as follows:
- Example 2 (Days to Respond 7): A new request is sent from a SHAREit Borrower library at 11:36am on Thursday June 19th and arrives in your SHAREit temporary Lender > Pending category and also within Relais a few minutes later due to an ISO message update. If your SHAREit Days to Respond = 7 and ILL Staff are available Monday to Friday to process requests your old and new calculations would be as follows:
- Example 3 (Days to Respond 7 & Holiday List Dates): A new request is sent from a SHAREit Borrower library at 2:36pm on Friday June 20th and arrives in your SHAREit temporary Lender > Pending category and also within Relais a few minutes later due to an ISO message update.
If your SHAREit Days to Respond = 7 and ILL Staff are available Monday to Friday to process requests but you're closed for staff/library holidays using the Holiday List/Temporary Closure settings in SHAREit on Monday June 30th & Tuesday July 1st the following week, your old and new calculations would be as follows:
- Currently ISO libraries that can't update a BCUC request to "Shipped" within 20 full calendar/real days should reject requests before they expire in SHAREit.
